Rehearsing and Recording Header

Have you ever wondered how top-tier presenters maintain perfect synchronization with their slides? Preparing a high-stakes presentation involves more than just design; it requires careful consideration of timing and delivery. Fortunately, PowerPoint offers a suite of sophisticated tools engineered to help you rehearse your performance. Beyond simple practice, you can even record a definitive version of your slide show—complete with voiceover narration—enabling your audience to engage with your message asynchronously.

Optional: Enhance your understanding by downloading our practice presentation.

Watch the video below to explore the logical workflow for rehearsing and recording your professional presentations.

Rehearsing slide show timings

The ability to rehearse timings is invaluable if your objective is a self-running presentation that plays at a calibrated speed without manual intervention. This feature allows you to practice your narrative while simultaneously saving the exact duration required for each slide and animation. Once these parameters are established, PowerPoint will execute the presentation automatically, mirroring your practiced pace.

Presentation Readiness: Rehearsing is typically the final stage of the creative process. If you are new to the platform, we recommend reviewing our Presenting Your Slide Show lesson to master the foundational mechanics of delivery.

To rehearse timings:

The transition from a static deck to an automated presentation begins with a structured rehearsal:

  1. Navigate to the Slide Show tab and click the Rehearse Timings command.
  2. Clicking the Rehearse Timings command
  3. The interface will enter a full-screen rehearsal mode. Begin your delivery. When you are ready to advance, click the Next button on the Recording toolbar (visible in the upper-left corner) or utilize the right arrow key on your keyboard.
  4. Advancing to the next slide during rehearsal
  5. Upon reaching the conclusion of your presentation, a dialog box will summarize the total time elapsed. If the timing aligns with your goals, click Yes to commit the data.
  6. Finalizing and saving timings
  7. The software has now logically mapped your delivery; future playback will proceed automatically based on these saved intervals.
Refinement Note: Achieving perfect timing often requires multiple attempts. Use the Recording toolbar to Pause the timer for a break or use the Repeat button to restart the timing for the current slide without affecting the entire deck.

Recording your slide show

For a truly comprehensive digital experience, the Record Slide Show feature goes beyond timing to capture your voiceover narration. By attaching a microphone to your workstation, you can embed your actual commentary into the file, effectively transforming your slides into an autonomous video presentation or a self-guided kiosk experience.

To record a slide show:

  1. On the Slide Show tab, click the Record Slide Show drop-down arrow and decide whether to Start Recording from Beginning or from the Current Slide.
  2. Selecting the Record Slide Show command
  3. A configuration dialog will appear. Ensure the necessary options are selected and click Start Recording.
  4. Configuring recording parameters
  5. Perform your presentation with a focus on clear vocal projection. As with rehearsal, advance slides using the Next button or arrow keys.
  6. Recording progress
  7. Once the final slide is completed, the full-screen view will close automatically.
  8. Your narration and timings are now embedded. Slides containing audio will be identifiable by a speaker icon in the bottom-right corner.
  9. Narration indicator on slides
Visual Cues: Because your standard mouse pointer is suppressed in recorded output, utilize the laser pointer feature for emphasis. Hold the Ctrl key while clicking and dragging your mouse; a digital red dot will appear to guide your audience’s focus.

To remove slide timings or narration:

Presentation needs can evolve. If you decide to revert to a manual delivery or update your commentary, you can selectively purge data from the current slide or the entire presentation. Access the Record Slide Show drop-down menu, hover over Clear, and select the appropriate logical option.
