PowerPoint is made for screen viewing, but sometimes you need a printed copy. Maybe you want notes while you present. Maybe your audience needs handouts. PowerPoint gives you options. The Print pane helps you preview and print with ease.

Print Layout Options

PowerPoint lets you choose how your slides will print. Pick the layout based on your needs:

  • Full Page Slides
    Each slide prints on its own page. Great for reviewing or editing.

  • Notes Pages
    Prints one slide per page with speaker notes below. Useful for presenters who’ve written notes for each slide.

  • Outline
    Prints only the slide text in outline format. Use it to check structure or plan your talk.

  • Handouts
    Prints smaller versions of each slide. You can choose how many per page. There’s space for your audience to write notes.

How to Access the Print Pane

  1. Click the File tab to open Backstage view.

  2. Click Print to open the Print pane.

  3. Or, just press Ctrl+P on your keyboard.

Here, you can choose how many copies of the presentation you want to print.

If you're planning to print multiple copies, it's a good idea to print a test copy first.


When you are ready to print the presentation, click the Print button.


You may need to select the printer you want to use if your computer is connected to multiple printers.


Here, you can choose from one of four print layouts: Full Page Slides, Notes Pages, Outline, and Handouts.


If you are printing multiple copies, you can choose whether you want the copies collated or uncollated.


Here, you can choose whether to print in color or grayscale. We recommend printing in grayscale most of the time to save on color ink.


Here, you can see a preview of how your presentation will look when printed.


You can click the arrows to view a different slide in the Preview pane.


You can click the zoom to page button on the right to zoom in and out of the Preview pane.

Click and drag the slider to use the zoom control. The number to the left of the slider bar reflects the zoom percentage.


How to Print Your Slides

  1. Go to File > Print.

  3. Choose the slides to print (all or a range).
  4. Select a layout (full page, handouts, etc.).
  5. Pick color options (color, grayscale, black & white).
