When you're working with longer presentations, it can be difficult and time consuming to locate a specific word or phrase. PowerPoint can automatically search your presentation using the Find feature, and it allows you to quickly change words or phrases using the Replace feature.

To find text:

  1. From the Home tab, click the Find command.
  2. The Find command
  3. A dialog box will appear. Enter the text you want to find in the Find what: field, then click Find Next.

You can also access the Find command by pressing Ctrl+F on your keyboard.

To replace text:

You may discover that you've repeatedly made a mistake throughout your presentation—like misspelling someone's name—or that you need to exchange a particular word or phrase for another. You can use the Replace feature to make quick revisions.

  1. From the Home tab, click the Replace command.
  2. The Replace command
  3. A dialog box will appear. Type the text you want to find in the Find what: field.
  4. Type the text you want to replace it with in the Replace with: field, then click Find Next.
  5. Clicking Find Next
  6. If the text is found, it will be selected. Review the text to make sure you want to replace it.
  7. If you want to replace it, select one of the replace options. Replace will replace individual instances, and Replace All will replace every instance. In our example, we'll use the Replace option.
  8. Replacing text
  9. The selected text will be replaced.

  11. PowerPoint will move to the next instance of the text in the presentation. When you're finished replacing text, click Close to exit the dialog box.
When it comes to using Replace All, it’s important to remember that it could find matches you didn’t anticipate and might not actually want to change. Only use this option if you're absolutely sure it won't replace anything you didn’t intend it to replace.

Challenge!

  • Open our practice presentation.
  • There is a typo in the presentation. Fundraising is misspelled as Funraising. Use the Find feature to find the misspelled word and Replace it with Fundraising.
  • Use the Find feature to find out in which month elections were held. Hint: Search for the word elections.
  • Let's say the original Fundraising Chair has resigned and been replaced. Use Find and Replace All to change Julia Stevens to Belinda Haygood.
  • When you're finished, your presentation should have this dialog box:

What is the keyboard shortcut for Find and Replace?

Press Ctrl+F to open the Find dialog, or press Ctrl+H to immediately open the Replace dialog box.

Does Find and Replace work on Master Slides?

It depends. If the text was typed directly into a slide, Find and Replace will catch it. If the text is part of a placeholder built into the Slide Master, you must open the Slide Master view (View > Slide Master) to run the tool there.

Can I match the exact capitalization of a word?

Yes. Check the box that says Match case in the Find dialog box. This ensures PowerPoint only finds words with the exact same capital and lowercase letters.

How can I replace a whole word instead of part of a word?

Check the box that says Find whole words only. This prevents PowerPoint from changing partial matches (e.g., replacing "man" won't accidentally change the word "manager").

Can I find and replace text inside charts or SmartArt?

Yes, PowerPoint will typically search and replace text inside standard Shapes, SmartArt, and Text Boxes on the slides.
