Presenting Your PowerPoint Slide Show

Starting a new PowerPoint presentation is exciting, but knowing how to save your work is essential. Saving ensures your slides are secure, accessible later, and shareable. PowerPoint allows saving locally on your PC or online via OneDrive. You can also export or share your presentations in multiple formats.


Save vs. Save As

PowerPoint provides two ways to save your presentation: Save and Save As. Understanding the difference helps prevent accidental overwriting of your work.

  • Save: Saves changes to your current file. You only set the file name and location the first time; afterward, simply click Save while working.
  • Save As: Creates a copy of your file with a new name or location, keeping the original unchanged.

Saving to OneDrive

OneDrive is Microsoft’s cloud storage, integrated with PowerPoint. Saving to OneDrive allows you to access and share your files online. Simply sign in with your Microsoft account to start.


How to Save a Presentation

  1. Click the Save icon in the top toolbar.

  3. Select your PC or OneDrive to save.
  4. Enter a name for your presentation and click Save.

Using Save As

Use Save As to create a new version while preserving the original file. Example: save "Sales.pptx" as "Sales_Update.pptx".

  1. Click the File tab.
  2. Select Save As.
  3. Choose a new location or filename.
  4. Click Save.

Change Default Save Location

If PowerPoint defaults to OneDrive but you prefer your PC, change the default location:

  1. Click the File tab.
  2. Select Options.
  3. Go to the Save tab.
  4. Check “Save to Computer by default”.
  5. Click OK.

Using AutoRecover

PowerPoint automatically saves your work every 10 minutes using AutoRecover. If a crash occurs, you can recover your unsaved work:

  1. Open PowerPoint.
  2. If AutoSaved files are found, they appear in the Document Recovery pane.
  3. Click the file to restore.
  4. If missing, go to File > Manage Presentation > Recover Unsaved Presentations.

Exporting a Presentation

Export your presentation in different formats for sharing or printing:

  • PDF – easy to print/share
  • Video – converts slides into a video
  • Handouts – prints slides for meetings
  • Older file types – PowerPoint 97-2003 (.ppt)
  • Images – saves slides as pictures
  1. Click File > Export.

Sharing via OneDrive allows collaboration without multiple copies:

  1. Save the file to OneDrive.
  2. Click File > Share.
  3. The Share panel opens.
  4. Choose your sharing options.
