Once you've created your document, you may want to print it to view and share your work offline. It's easy to preview and print a document in Word using the Print pane.

To access the Print pane:
- Select the File tab. Backstage view will appear.
- Select Print. The Print pane will appear.
Click the buttons in the interactive below to learn more about using the Print pane.
Print Command
Click this large button to send the document to the selected printer immediately.
Copies
Use the arrows or type a number to print multiple copies of the document.
Select Printer
Choose which printer to use, or select "Print to PDF" to save a digital copy.
Print Range
Choose "Print All Pages", "Current Page", or type specific page numbers (e.g., 1-3).
Duplex Printing
Select "Print One Sided" or "Print on Both Sides" if your printer supports it.
Collated
Keep pages in order (1,2,3) for each copy, or group them by page number (1,1,1).
Orientation
Switch between Portrait (vertical) and Landscape (horizontal) layouts.
Paper Size
Select the physical paper size, such as Letter (8.5x11), Legal, or A4.
Margins
Adjust the white space around the text (Normal, Narrow, Wide, or Custom).
Pages Per Sheet
Print multiple small pages on a single sheet of paper to save paper.
Print Preview
This shows exactly how your document will look on paper.
Page Navigation
Click the arrows to flip through the pages in the preview.
Zoom to Page
Zoom in to read the text or zoom out to see the whole page layout.
To print a document:
- Navigate to the Print pane, then select the desired printer.
- Enter the number of copies you want to print.
- Select any additional settings if needed.
- Click Print.
Custom printing
Sometimes you may find it unnecessary to print your entire document, in which case custom printing may be more suited for your needs. Whether you're printing several individual pages or a range of pages, Word allows you to specify exactly which pages you'd like to print.
To custom print a document:
If you'd like to print individual pages or page ranges, you'll need to separate each entry with a comma (1, 3, 5-7, or 10-14 for example).
- Navigate to the Print pane.
- In the Pages: field, enter the pages you want to print.
- Click Print.

FAQs
What is the keyboard shortcut for printing?
The keyboard shortcut to open the Print pane immediately is Ctrl+P (or Cmd+P on Mac).
How do I print only the current page?
In the Print pane, under Settings, change "Print All Pages" to Print Current Page. This will print only the page visible in your document view.
Can I print double-sided documents?
Yes. In the Print Settings, look for "Print One Sided." Click it and change the selection to Print on Both Sides. Note: You need a printer that supports duplex printing.
How do I print to PDF?
In the Printer dropdown menu, select Microsoft Print to PDF. When you click Print, Word will ask you to save the file as a PDF instead of sending it to a physical printer.
Why is my text getting cut off when printing?
This is usually an issue with Margins or Page Size. Go to the Layout tab or the Print Settings link to ensure your Paper Size matches your printer paper (e.g., Letter or A4) and your Margins are set correctly.
